Federal RPA Community of Practice Support

Objective

As part of our support for the President's Management Agenda, Cross-Agency Priority Goal 6 - Shifting from Low to High Value, MSI provided programmatic and advisory services to the Federal RPA CoP.

Our CoP services included support for extensive knowledge development initiatives aimed at educating Federal program managers on how to successfully deploy RPA. We produced pragmatic content and facilitate webinars that regularly achieve 300-500 participants Government-wide.

We also have supported the CoP in developing a comprehensive RPA Program Playbook to share best practices and lessons learned, a Use Case Inventory of successful Federal automations, and standardized performance metrics and program maturity surveying to gauge government-wide deployment of RPA.

Through the CoP, MSI also provided advisory support to Government agencies interested in initiating or maturing their RPA Program, including leaders at over a dozen Federal agencies.

Results

  • Total CoP Membership over 1,000 Federal employees, representing over 65 Agencies.

  • Authored the Federal RPA Program Playbook available at digital.gov. Total downloads exceeding 5,000.

  • Supported the design and deployment of the Federal RPA Use Case Inventory - with over 400 automations.

  • Administered a government-wide RPA Program maturity survey with common metrics to gauge Federal RPA progress.

GSA Robotic Process Automation Program

Objective

MSI provides the GSA OCFO RPA Program with comprehensive support including a) process selection; b) automation design; c) automation development; d) program management and performance measurement; e) security, credentialing, and IT advisory services; f) platform deployment and migration support; and g) ongoing automation operations and maintenance.

MSI leverages our unique Lean Automation Methodology in support of the GSA OCFO Program. Lean Automation ensures that processes are optimized before they are automated, and maximizes program throughout. Lean Automation is a set of methodologies and tools, based on Lean and Six Sigma principles for launch and management of automation initiatives.

COVID-19 GIS Mapping RPA Application

Objective

The General Services Administration (GSA) manages office space in 9,600 buildings across the US. To track the spread within its organization, geographic input must be correlated with the number of infections in each country, in order to build a map of the COVID-19 threat in the countries surrounding its properties.

In response to the pandemic, MSI assisted in automating the process of aggregating and uploading the data to the map, helping to ensure that GSA employees and buildings are safe during a time of global crisis.

Daily Check-In Automation

Objective

The General Services Administration (GSA) has more than 12,000 employees and either owns or manages approximately 600 buildings across the United States. During the COVID-19 pandemic, GSA leadership has made it a priority to understand occupancy trends for owned and leased space, while also ensuring that employees are safe.

In response to the pandemic, MSI developed the Daily Check-In Tracking System to assist the agency in accomplishing priorities.

Through the implementation of the process, GSA leadership is able to understand the wellness of the more than 12,000 employees and the occupancy trends of all 600 buildings, at both an office and employee level. Reports are automatically developed and sent on a nightly basis, providing the agency with seemingly real time feedback.

Results

Employee Wellness

GSA Leadership are notified daily of employee work statuses. Additionally, leadership is notified if an employee has not responded for multiple days.

Re-Opening Strategy

The tracking tool has informed GSA's short-term and long-term reopening strategy, by providing real time intelligence on building capability and which critical occupations require on-site presence.

Building Occupancy

A summary of occupancy by GSA office building is provided to leadership daily, enabling them to understand building utilization.

Employee Engagement

Daily communications have ensured that GSA employees remain active and engaged during a time of mandatory telework.
